Valve Documentation and Record-Keeping Requirements

Comprehensive documentation of industrial valve procurement, installation, operation, and maintenance is a requirement of mechanical integrity programs, regulatory compliance frameworks, and good engineering practice. Valve documentation serves multiple purposes throughout the equipment lifecycle: it provides evidence of specification compliance at procurement, supports correct installation and commissioning, enables appropriate maintenance planning, demonstrates regulatory compliance during audits and inspections, and provides historical records for life extension and fitness-for-service assessments. Developing and maintaining a systematic valve documentation program requires understanding what records are required, who is responsible for creating and maintaining them, and how they should be organized for retrieval.

Procurement Documentation

Documentation generated during valve procurement establishes the technical basis for the valve's design, materials, and qualification. The valve datasheet defines the specified requirements. The vendor's bid technical compliance statement documents how the offered valve meets each datasheet requirement, including any deviations. Purchase order technical conditions establish contractual documentation requirements. The manufacturing data record (MDR) or documentation package delivered with the valve typically includes material test certificates (MTRs) for pressure-containing components, dimensional inspection report, pressure test report (shell hydrostatic test and seat leakage test), non-destructive testing reports if applicable, weld procedure and welder qualification records if the valve has weld ends or field-welded body joints, and the valve nameplate copy showing rated working pressure and temperature.

  • Material test certificates (MTRs): heat numbers, chemistry, and mechanical properties

  • Pressure test report: shell test and seat leakage test results with dates and inspector signatures

  • NDT reports: radiography, ultrasonic, magnetic particle results for critical components

  • Weld documentation: WPS, PQR, and welder qualifications for welded valve construction

  • Nameplate: manufacturer, valve type, size, pressure class, material class, serial number

Installation and Commissioning Records

Installation records document the as-installed configuration of the valve including the exact pipeline location (P&ID reference, line number, unit), physical location (building, area, elevation), orientation, and any installation-specific information such as special support requirements or insulation details. For automated valves, commissioning records document the actuator calibration, positioner settings, limit switch settings, and initial stroke test results. The commissioning record establishes the baseline performance of the valve and provides the reference for future functional testing and diagnostic monitoring. Any deviations from the specified configuration discovered during installation should be documented and resolved before the equipment is placed in service.

Maintenance and Inspection Records

Ongoing maintenance and inspection records provide the historical performance data needed for maintenance planning, integrity assessments, and regulatory reporting. Work order records for each maintenance activity on a valve should document the date, maintenance performed, technician name, findings (as-found condition), actions taken, and as-left condition after maintenance. Inspection records including ultrasonic thickness measurements, visual inspection findings, and seat leakage test results at each inspection event build a longitudinal dataset for each valve that reveals degradation trends. This data is input to remaining life calculations, inspection interval optimization, and capital planning for valve replacement. Regulatory agencies including OSHA, EPA, and state agencies may require these records to be retained for specified periods (commonly 5 years for OSHA PSM) and to be available for inspection on demand.
